Essentially, a computer server allows a number of computers to be linked together and share the same data and software programs, a server can also provide data storage, a backup system and extra processing power. This is sharing of information and connection between computers is know as a network, computers can be connected to a network either via cables or via a wireless router. Servers simplify many day-to-day tasks within a business environment such as centralised data management, file sharing and the sharing of hardware resources, for example, printers and fax machines. A server also offers computer security features as it uses a firewall and protects all of the computers within its network. It can be said that computer servers are one of the most important elements within a business environment.
If you are a small business with only a single computer then unless you are dealing with very large amounts of information that require a lot of processing power or you need to share lots of information remotely via the internet then there is no need for you to use a server. If, however, your business uses more than one or two computers in its day-to-day operation and you need to share files and information between these computers then it may be time for you to consider using a computer server.
The application and operating systems of a server are different to a regular PC or Mac and provide data back up, data management and secure application sharing. For windows based servers, the most common operating system used is Microsoft Small Business Server which provides businesses with everything that is needed to run your business server and hasx licensing packages which are scalable to suit your needs. If you are more conversant with Apple Mac's than you are with PC's then a really good option for small businesses is an iMac Mini running Apple's Snow Leopard server software.
Although for very small businesses a normal PC can be used as a server, generally server hardware also differs with enhanced features such as faster RAM, powerful multi-core processors and much larger storage capacity with more than one hard disk.
To ensure that your network has a high level of security and restricted access to sensitive information the server has a central user directory and management facility where you can store the unique usernames and passwords of all users, this allows your network users to log into any computer within your business network using their own username and password. This important facility allows employees to desk-share and still be able to access all of the information that they would normally only be able to access at their own computer. The directory management facility within the server allows you to decide which users have access to which information so that only the people who need to be working with certain files and folders have access to them.
The size and processing power of your server should be directly proportional to your business requirements. For smaller businesses, there are servers available that are only slightly more powerful than a normal home computer, where as big companies often require large amounts of storage space and processing power to handle the demand required by the number of users.
Before jumping-in and buying your first business server, it is advisable to first get some expert advice from an IT consultant. Although you will pay for this advice, an IT consultant will most likely save you money it the long-run as they will be able to advise you what type of server and operating system best suits your requirements.
