8 Tips for Selecting the Best Multifunction Printer

One multifunction printer is not equal to another, especially if you are looking for excellent colour laser printing capabilities. As you shop for your new printer, there are eight things to keep in mind:

1. Not all multifunction printers have built-in fax machines. If you use a fax machine in your business or home office, it is always better to get that functionality in your printer. You will have just one machine taking up space, rather than two. Even if you don't think you need a fax machine, you can often get a printer with faxing capability for about the same cost as one without faxing capability.

2. Not every multifunction printer is ideal for making your office paperless or for maintaining a document management system. Know what you need your printer to do before you even start shopping. You will eliminate many machines before you even start looking around.

3. You are not necessarily getting a better deal with a cheaper printer. Think long term and price replacement cartridges for the ink. In many cases, an inkjet printer is just as expensive to keep inked than a printer offering colour laser printing.

4. Specs are not all that matters when it comes to purchasing a new multifunction printer. Take the time to read reviews, especially if you can find professional reviews. Consumer reviews will work as well if you are interested in ensuring a printer delivers high quality prints.

5. Do you have a network being used in your business or home office? Consider whether your multifunction printer will connect easily into that network. If it won't, then it won't work in your office. If you aren't sure about this issue, discuss your colour laser printing and networking options with a professional selling multifunction printers.

6. A multifunctional printer that can only operate in one function at a time is not a true multifunctional printer. You should be able to use more than one feature at a time, such as receiving a fax while making copies. If you have to do one function at a time, it will slow your office down.

7. Who manufactures the printer? Some manufacturers are far better with customer service than others. You want to ensure you will get fast, friendly and efficient service when it and if it is needed.

8. Check if your printer is compatible with particular software programs that may be used for efficient document management. Some manufacturers will work with different software manufacturers so you get some extra benefits when managing your documents.

A multifunction printer is a big purchase. You don't want to spend any more money than you have to, yet you do not want to go too cheap and end up with something you cannot use. You want to make sure your printer lasts for years delivering high quality colour laser printing while multi-tasking with all of the other functions you need in your office. Anything less should be unsatisfactory for your business.
