The Benefits of Paperless Document Management Systems

There are many ways you could go about managing all of the papers and documents that fly through your business every month. You could manage everything in filing cabinets as businesses have been doing for generations, or you could allow everyone to do whatever they wanted with their paperwork and waste time hunting down loose papers. Or, you could step into the modern business world and have a paperless document management system set up just for your business.

While the term "document management system" may sound complicated, it is actually quite simple to set up in most offices. You will start off by purchasing a multifunctional printer so you can scan all of the papers currently in your office to create files on your computer. Preferably, that multifunction printer will come with colour laser printing capabilities, so you can print out reports and other paperwork from your digital storage system as needed.

What Is a Paperless Office?

A paperless office is simply an office that operates through computer files, rather than physical filing cabinets in the office. Someone operating a small home business with no outside employees may get by with a simple filing cabinet in the corner of the office, but once you start growing and hiring others to get the work done that becomes inefficient. A growing business will have a massive amount of paperwork to keep track of, and standard filing cabinets become a chore that slows down productivity.

Benefits of a Paperless Office

When you start converting those in-office papers to electronic files, you lose a lot of the clutter typically found in an office. You also lose the risk of losing papers or misplacing files. You also gain the ability to have more than one person working with the same file at one time. With a physical file someone has to take possession of it, and then others have to track it down if they need it to complete their work. That doesn't happen when everyone can access the same file through their own computers simultaneously.

Instead of taking the time to file away large stacks of paper every day, you simply have employees use your multifunction printer to quickly scan papers into the electronic system. Even better, you replace those paper forms with electronic forms that are filled out directly through the computer. You will still need a good multifunction printer in the office for papers that do need scanned, copied and printed at times.

Setting Up a Paperless Office

Going paperless is not something that most businesses can do overnight. First the computer system needs to be set up and everyone needs to be tutored so they know how to work the new system. The next step is to scan all of the files currently in the office into the computer system. For a business that has been in operation for many years, this can take some time. This also requires a multifunction printer capable of colour laser printing.

Once your office has gone paperless, there will be less clutter and more room to seat clients or just decorate for a more professional office appearance. There will also be less chaos over missing files or file sharing between employees.
